Rate confirmation organization
The confirmation and approved terms stay connected to the load record. Material updates should be documented so the carrier can see what was agreed and what changed.
Final Say Dispatch helps organize the rate confirmations, operating documents, communication, and eligible follow-up that surround carrier-approved freight.
Administrative support begins around the load the carrier approved.
Dispatch paperwork support is not just file storage. The rate confirmation, appointment details, documented changes, delivery records, and eligible accessorial follow-up should tell one coherent story about the approved move.
The confirmation and approved terms stay connected to the load record. Material updates should be documented so the carrier can see what was agreed and what changed.
Appointment windows, locations, reference details, and agreed communication are kept together around the move. The service supports organization and coordination; it does not control facility performance or guarantee schedules.
Relevant delivery and operating documents can be tracked as part of closing the load record. Do not enter SSNs or EINs, attach a W-9, or send passwords, banking details, bank credentials, insurance-login credentials, payment information, private access tokens, or load-board credentials through website forms, ordinary email, or text.
A W-9 contains a tax ID (SSN or EIN) and may be needed later for carrier/broker setup or applicable tax reporting. We will explain the specific purpose, reuse a current W-9 already received, and request a copy only if needed and missing or outdated. We do not request a separate EIN. Before any W-9 is shared, a secure document handoff must be confirmed separately. Do not send a W-9 or tax ID through website forms, ordinary email, or text.
Documented detention, layover, TONU, and other eligible items can receive follow-up when the facts and terms support it. Earned accessorial revenue negotiated by the service is included in the founding pilot’s fee basis; fuel surcharge and pass-through reimbursements are excluded.
